Email Templates (with Auto-Respond)

The QuickSchools Online Forms app (available on our App Store) contains Email Templates that you can set up for multiple scenarios. The templates themselves support auto-filled fields based on what the user has filled into your Online Form. You can even configure an auto-respond notification email when a form is submitted. Here’s an example:

Just look for the Email Templates section for a particular Online Form Packet:

You can use the “Email Templates” button to manage the different types of templates. Be sure to check off the “Send notification email” box for the auto-respond emails. Then click on “Configure notification email” to set up the email that will be sent out. Here’s the Email Template that will pop-up:

Fill in the email details, including the “To” and “From” fields (“CC” and “BCC” fields are optional). You can select multiple recipients. And you can use the “Insert Field” link to add auto-filled fields as well:Read More »

Admissions Data on Report Creator

We’ve just add reporting meta data for the Admissions module onto the QuickSchools Report Creator. So you can now build reports off your Inquiries and Applications:

We’ll continue to add additional modules to the Report Creator based on demand. Do let us know if there’s a specific module that you’d like us to create reporting meta data for. We can also add reporting capability for apps (like the Online Forms App you see listed above).

One thing to note for the Admissions reports, without any filters, the report will only show applications that are in progress. So to view applications with statuses other than “In Progress”, be sure to add a filter and then the appropriate values for that filter:Read More »

QuickSchools Security

We wrote an article 3 years ago to address some of the concerns with using an online service like QuickSchools. Although many of the responses are still relevant, we wanted to expand a little bit on the section regarding our security features.

Our QuickSchools infrastructure has matured tremendously since we officially launched in 2009. We are now hosted on the Amazon Web Services (AWS) in Virginia. This means that in addition to the cloud-based infrastructure that allows us to scale and meet the growing demand of our customer base, we also get to piggy back on many of the security features provided by AWS. “Pay-As-You-Go” Development

We mentioned in a recent post that schools can use our Open APIs and support for App Development to build your own apps. And if you do not have your own engineering / development resources, you can actually commission our QuickSchools team to develop apps for you, at a flat hourly rate. In many cases, if the scope of the proposed improvement is well-defined, we can even estimate the total cost of the custom development up front, as a fixed cost. But often times this is not possible, especially if it’s not completely clear what is required, or if the project itself it susceptible to scope creep. With a “Pay-As-You-Go” development model, the customer has full control on the scope and direction of new custom development. So how does this hourly “Pay-As-You-Go” development work?

Integration to Learning Management Systems (LMS)

Learning Management Systems (LMS) are a very different beast compared to Student Information Systems (SIS), which is what QuickSchools provides as an online service. Student Information Systems (also known as School Management Systems or School Administration Systems) focus on record keeping, and the administrative aspects of running a school (track student demographics, attendance, grades, fees, transcripts, etc). Learning Management Systems on the other hand focus on the delivery of content (or lessons) to students, and is primarily used by teachers.

There is a big overlap between the 2 systems though. School Management Systems are known to provide some level of LMS functionality, such as portals for students and parents to download homework assignments. Learning Management Systems too have been known to produce report cards, which has mainly been in the realm of SISs. But it’s really hard for any vendor or company to provide focus in both areas, as they are primarily different markets with different needs.

The large overlap between the two types of systems suggests that integration would allow schools to tap into the best of both worlds – so teachers can use an LMS to share lessons and record grades, while administrators can use an SIS to produce report cards and transcripts.

We announced last year that we now support integration with Schoology, which is an awesome Learning Management System in the market today. But Schoology is not the only LMS out there, and it does focus only on K-12 schools. And so, we’ve decided to introduce more apps in this area.

It’s finally here! We’ve built a new simplified Report Creator (available on our App Store) that will allow your school to create your own reports in QuickSchools:

Improvements to Fund Rabbit

We’re excited to announce a couple of improvements to our Fund Rabbit app, which is used for Fund-Raising and Development (Donor Management) in QuickSchools. You can see our original post here:

With this new release, schools can now (1) import parents from their main QuickSchools account into the Fund Rabbit Donor list; and (2) publish a Project Page to collect donations online.

Importing Parents as Donors

This is pretty simply feature. From the main list of donors, just click on the “Import Parent Record” button:

You install it from the QuickSchools App Store, if you haven’t already. When configuring the app, you do have to decide between (1) Students signing in themselves or (2) Parents signing in their children:
