Someone spots a mistake, and now you need to update the grades. This article describes the process of updating report cards AFTER report cards have been locked.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We will be going over the following scenarios:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The Basics: Manually updating grades<\/li>\n\n\n\n<li>Re-submitting grades from the Gradebook<\/li>\n\n\n\n<li>Clear Locked Values<\/li>\n\n\n\n<li>Selectively migrate calculated values<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>The Basics: Manually updating grades<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">What happens when you lock the report cards?<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td class=\"has-text-align-center\" data-align=\"center\"><strong>IMPORTANT: Report cards are designed to PULL data from supporting modules like the Attendance and Gradebook modules. This happens when you (1) OPEN an individual report card for the first time, or (2) LOCK the report cards for the first time.<\/strong><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Once you have locked the report cards for the first time, the system will no longer pull data from the supporting modules. This means that you can safely unlock report cards, make changes to any individual report cards, and then lock them up again.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td class=\"has-text-align-center\" data-align=\"center\"><strong>TIP: If you click on the \u201cHistory\u201d link for a particular Report Card session, the screen will show when the report cards where locked\/unlocked, and by which user:<\/strong><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/SFKGoZy5rzA1AMXKNrAw8oqCwwaaczgVRAYKEbyBkkOU-sYfYzhy5Os_be0RGy35c8RtoqLCfasyNizUk23mXA2hugdCEmT_a0na0QpVmu72aNOVDw9Ow0C6pjp6ecehA4uxsYlM\" alt=\"report session name\"\/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Manually updating grades in the Report Cards will NOT update the corresponding modules where the information would typically originate from. So for example, if you update a students Math grade from 80 to 90 in the Report Cards, this would be independent of the students Math grade in the Gradebook. Ideally, the Gradebook grades would match the Report Cards, but this would need to be managed manually after locking.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Re-Submitting Grades from the Gradebook<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In some cases, you may have realized after locking your report cards, that one or more of your teachers had not updated his\/her gradebook with the correct Final Grade calculations. As a result, the grades that were pulled from the Gradebook are incorrect. Do you need to update each grade individually in the report cards?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There is actually a new \u201c<em>Submit to Report Cards<\/em>\u201d function that was <a href=\"https:\/\/blog.quickschools.com\/2019\/09\/18\/new-release-sprint-e16\/\">introduced in September 2019<\/a> as a beta feature, and later refined. You can enable this feature by configuring the Gradebook module:<\/p>\n\n\n\n<!--more-->\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh4.googleusercontent.com\/uVP4_MRtDByKi679-vj0K2NH4AuVhHUCBdfS929uqkMkSjK-c_1tUDeIu9lON3aykAGfUdXnmGUssj9_PengEfmc84R87U60OgtRLgHHWuXOfSMlgS-xTMZxAa1kmJVB2Vqm1I1r\" alt=\"Re-Submitting Grades from the Gradebook\"\/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Once enabled, you\u2019ll see a new &#8220;<em>Submit to Report Cards<\/em>&#8221; button in the Gradebook, just above the table of students:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/Y85d2nld2phFTIJr1ImvM4QIRNWpuJKCR4_jEgHVaDCRhjLEX7lRGf9ath6mPQYcN3TzEtbNvZuz6dwGt4sfGqD3ZNYihrY0L1JbpsJa9fCjqZoHmAQ9c5fdeoM5DaHTKKPNbHGm\" alt=\"button that appears after report cards are locked\"\/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">The button allows the teacher to PUSH the grades from the Gradebook to the Report Cards. This button will only appear if the Report Card session is unlocked.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Clear Locked Values<\/strong><\/h3>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td class=\"has-text-align-center\" data-align=\"center\"><strong>IMPORTANT: \u201cClear Locked Values\u201d is a restricted feature that is enabled upon request, and should be used with caution.<\/strong><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh5.googleusercontent.com\/KLGTJHWZY5CIWOryxI97Wf00b-aKGNV_B9n09OAbEBUpIlAGwsrHZ7JaOX0CkHZIxzqzaN-DraFED9BmlMtoLIsJAreEHxm3_uXbk7u5vxgYQWnWNBxFTQx6Ks2X04SEQv6_x6TP\" alt=\"manage report cycles\"\/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">The <a href=\"https:\/\/blog.quickschools.com\/2015\/02\/03\/clear-locked-values\/\">\u201cClear Locked Values\u201d feature<\/a> was created early on as a mechanism to refresh all grades in the Report Cards. This feature allows you to remove ALL locked values in the report cards, allowing you to PULL data from supporting modules again, as if locking the report cards for the first time. This should be used with caution, especially for mid term report cards, since you may inadvertently overwrite the correct grades, with updated grades intended for a future date.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For the most part, schools using the numeric <a href=\"https:\/\/blog.quickschools.com\/2018\/08\/10\/quickschools-gradebook\/\">Gradebook<\/a> can use the previously discussed \u201c<em>Submit to Report Cards<\/em>\u201d feature to manage changes to locked Report Card grades. But for schools using the <a href=\"https:\/\/blog.quickschools.com\/2014\/07\/08\/standards-based-gradebook\/\">Standards-Based Gradebook<\/a>, the \u201c<em>Clear Locked Values<\/em>\u201d will likely continue to be the primary method for updating grades in bulk.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Selectively migrate calculated values<\/strong><\/h3>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td class=\"has-text-align-center\" data-align=\"center\"><strong>IMPORTANT: \u201cSelectively migrate calculated values\u201d is a restricted feature linked to \u201cClear locked values\u201d. Enabling the latter will enable the former. Both features should be used with caution.<\/strong><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">The \u201c<em>Selectively migrate calculated values<\/em>\u201d feature is a specialized version of \u201c<em>Clear locked values<\/em>\u201d that targets specific fields within the Report Cards. For example, you may want to only update the GPA fields, but not the marks and grades. This feature requires that you know the special identifier or keyword used to identify the field that is being re-calculated.
