This includes:\u00a0<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Real-Time database replication to a separate server instance<\/li><li>Daily Database Back-ups, where files are secured to a separate physical location (within the AWS infrastructure)<\/li><li>Incremental database back-ups, also secured to a separate physical location (within the AWS infrastructure)<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">These backups are used solely by QuickSchools, in order to protect against unforeseen circumstances like hardware failure, and disruptions to data facilities. Details for these processes will be discussed in more detail in a separate article.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But if you\u2019re looking to perform your own back ups, for your own peace of mind, or for transferring data to another system, there are a few options which we\u2019ll discuss here. Summary of available methods include:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Export Data via Report<\/li><li>Download Generated Files (i.e. Report Cards, Transcript, Gradebook PDF, etc)<\/li><li>Data from Apps (eg. Online Forms App, Master Scheduler App, etc)<\/li><li>Advanced (XML) Back-Up<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Export Data via Report<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The primary method for backing up your data is simply to download them via the related reports. Data can be downloaded in CSV or Excel format. Just go to \u201cReports\u201d &gt; \u201c<a href=\"https:\/\/blog.quickschools.com\/category\/summary-reports\/\">Summary Reports<\/a>\u201d, and click the \u201cExcel\u201d button for any of the reports:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/Z1e3-gYlsvb2yCmrMDhbUzJCBwK77PXVJDWBQy1a6dTNyW7OrEty0dK910HedWKjrbsms_DeJEeuzopomqm--SthnMOj6xZzqXcEbf3MoGA3AVHj38YIO9GEOZgHGgq6M74x4dtw\" alt=\"\" \/><figcaption>Export Data to Excel from Summary Reports<\/figcaption><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">You will be prompted to select filters for the report. You can then store the downloaded file locally on your machine.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Download Generated Files<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">You also have the option of bulk downloading files that are generated by QuickSchools. It\u2019s important to note that these files are not stored in QuickSchools as files, but are rather generated in real-time based on the latest data needed for the file.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, you can bulk download report cards for a particular session, using the \u201cDownload\u201d function on top left corner of the table listing:<\/p>\n\n\n\n<!--more-->\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh6.googleusercontent.com\/m_h6TqqCNU515ZJ2EXsyZnYRgRVaKEPcNZsMelsKPG2Yy7vju69bP6qvtqMlpa-YbZyfjNDP-ODCoXqZrHwyZGONfhcwKzEwP5YGrAB_QdZ08Cf_4WU32wDFSGksln7jdlTRw0Ko\" alt=\"\" \/><figcaption>Bulk Download Report Cards<\/figcaption><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">This will create a ZIP file containing PDFs for all report cards selected to be downloaded. This feature to bulk down is available in many of the modules. Here\u2019s another <a href=\"https:\/\/blog.quickschools.com\/2013\/03\/07\/mass-download-print-transcripts\/\">example from the Transcripts<\/a> module:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh6.googleusercontent.com\/rq21rBVzIEyJmPnLRVs-UMpiIJ3wtkxsx4XLu7LfCuB8Mo4XCYTVX7Kz0HJDbVglRIegt8-U0Ne37qfcftjGIRcgJ1HwkydAMM_5jJABKFgZaglTaQNtvdz67CZfz9BfdBbrXX2N\" alt=\"\" \/><figcaption>Bulk Download Transcripts<\/figcaption><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Data from Apps<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Apps installed from the App Store will have their own tools for extracting data. For example, the <a href=\"https:\/\/blog.quickschools.com\/2017\/11\/17\/enhanced-online-forms\/\">Online Forms App<\/a> has its own function to \u201cExport to Excel\u201d when viewing submissions:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/oHQX7p_doZkcDtX8EYZLTlgQ5ciHhr4bLSbLaSDWHfoM2kpLIJfkEmXJvV1iY-6XpO-PujesQ-nqgpiF8eZKBX_rh7xMf1oJP2uDUUvk1JTYgxqf2dv9fRTMpc6EnV1uXWxKjOLj\" alt=\"\" \/><figcaption>Export Data from the Online Forms App to Excel<\/figcaption><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">You can also use the \u201cSubmissions &#8211; By Form\u201d module to download specific forms from within each Form Packet, in bulk. This is useful if you want to create separate back-ups for specific forms, like the Health Cards, or Emergency Contact Forms.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Some apps will have custom reports that will appear under \u201cSummary Reports\u201d, and can be exported to Excel like a regular report.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Advanced (XML) Back-Up<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The backup methods discussed above display your data in a readable format that is flat. This means that each record is self-contained, and you may have repeated data that appears across different modules. For those familiar with the relational-nature of data management, there is an option to download your data in XML format, which preserves the linkages between each module.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/NlCKAy1_STYKjZ4bpA-YrPkgnWsmCwZW0pdV0iE9lMpn76_f1A8XqaP2b4LDYFYeaB9iNTBrd7MzHTb4JUDh3vK3bFFXkZnYXJY3p_m1jFvN14tNeBkDFEKPQPhhpZhv8i6l7fgG\" alt=\"\" \/><figcaption>Advanced XML Backups<\/figcaption><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">To enable this feature, go to \u201cSettings\u201d &gt; \u201c<a href=\"https:\/\/blog.quickschools.com\/2013\/05\/03\/managing-user-access-via-the-features-page\/\">Turn Features On \/ Off<\/a>\u201d, and click on \u201cEdit Overall Settings\u201d:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/VYFWa6NuSWj-DcNRT_BUUlKZpgrHBoTT6uPv850FJIwd0ovptIFfO0uj-J3piwyRj2MUL2Lvs39fEQ0jHVNEnE_MOrK-u4TwmfJLfKY0AIZGRUbIuMbAHPiXWjOI9p4apM_15VC3\" alt=\"\" \/><figcaption>&#8220;Edit Overall Settings&#8221; under &#8220;Turn Features On\/Off&#8221;<\/figcaption><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Then enable the \u201cAdvanced backup control\u201d for the appropriate users:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh6.googleusercontent.com\/vFuGQJgFbzXo2AcC3iy4zbMWkPUOQKRmYlMvUeH3MCL8CiM1v6A3B-m25Jd6MO0x1S84uGSdUl-RDvnyI4UVlUojRbLowxB_HzrVMoawl6mxt0StrslY9pnK-hhOmgxaQKSkSa1o\" alt=\"\" \/><figcaption>Enable Advanced XML Backup for Specific Users \/ Roles<\/figcaption><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What about Uploaded Documents?<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Uploaded documents to the various modules like <a href=\"https:\/\/blog.quickschools.com\/2020\/03\/31\/accessing-homework-from-student-portal-parent-portal\/\">Homework<\/a>, Email Attachments, Student and <a href=\"https:\/\/blog.quickschools.com\/2014\/10\/29\/documents-for-teachers\/\">Teacher Documents<\/a> are not yet available for mass download.
