{"id":4367,"date":"2018-10-05T18:15:08","date_gmt":"2018-10-06T01:15:08","guid":{"rendered":"http:\/\/blog.quickschools.com\/?p=4367"},"modified":"2023-09-21T03:18:44","modified_gmt":"2023-09-21T10:18:44","slug":"checklist-when-transitioning-to-a-new-term-semester","status":"publish","type":"post","link":"https:\/\/blog.quickschools.com\/2018\/10\/05\/checklist-when-transitioning-to-a-new-term-semester\/","title":{"rendered":"Checklist when Transitioning to a New Term\/Semester"},"content":{"rendered":"<div id=\"bsf_rt_marker\"><\/div><p><span style=\"font-weight: 400;\">We\u2019re gearing towards the end of the term, what should I do to ensure I\u2019m set for the next term?<\/span><\/p>\n<p><i><span style=\"font-weight: 400;\">Note:<\/span><\/i> <i><span style=\"font-weight: 400;\">In this article, the word TERM also equates to QUARTER and SEMESTER &#8211; however you call the grading periods in your school.<\/span><\/i><\/p>\n<p><span style=\"font-weight: 400;\">The list below will help you identify if you\u2019re ready for the next term:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Teachers are done taking attendance for current term<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Teachers have completed entering Gradebook grades for the current term (but there\u2019s a way for teachers to enter grades for the previous term, see below)<\/span><\/li>\n<li>Report Cards grades are correct, and teachers are pretty much done entering comments in it.<\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">No pending tasks on all the other modules like Homework, Class Discussions, etc.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Once you\u2019re done with the items listed above, you\u2019re all set to move to the next term. Click <\/span><a href=\"https:\/\/support.quickschools.com\/hc\/en-us\/articles\/208336773-How-to-Setup-New-Semesters\"><span style=\"font-weight: 400;\">here<\/span><\/a><span style=\"font-weight: 400;\"> for instructions in creating and activating a new term. After activating the new term, you\u2019re good to go. Teachers may start entering attendance, grades, homework, and other data for the new term.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We\u2019ve put in some <\/span><b>FAQ<\/b><span style=\"font-weight: 400;\">s that might be helpful for you:<\/span><\/p>\n<p><span style=\"font-weight: 400;\">1. <\/span><i><span style=\"font-weight: 400;\">When do I activate the next term?<\/span><\/i><\/p>\n<p><b>Answer:<\/b> We recommend activating the next term when the current term is about to end. This is to ensure that the latest data from the active term are copied into the next term.<i><span style=\"font-weight: 400;\"><br \/>\n<\/span><\/i><\/p>\n<p><span style=\"font-weight: 400;\">In activating the next term, the system copies data from the active term into the new term. So if you added new subjects and enrollments after activating the next term, these data won\u2019t appear in the next term; you\u2019d have to recreate them in the next term.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">2. <\/span><i><span style=\"font-weight: 400;\">Can we activate the next term ahead of time so we can start creating schedules, posting homework, etc.?<\/span><\/i><\/p>\n<p><b>Answer:<\/b><span style=\"font-weight: 400;\"> Yes, just take note of the things mentioned above. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">3. <\/span><i><span style=\"font-weight: 400;\">What if I activate the term late?<\/span><\/i><\/p>\n<p><b>Answer:<\/b><span style=\"font-weight: 400;\"> Best practice would be to activate the new semester before it starts. This is to avoid possible problems it can cause to the teachers:<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Attendance entered in the wrong semester<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Grades entered in the previous semester\u2019s Gradebook (e.g. Term-2 grades entered in Term-1 gradebook)<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Homework, Lesson Plans, Class Discussions posted in the wrong semester<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">4. <\/span><i><span style=\"font-weight: 400;\">Can teachers enter grades in the Gradebook for previous terms?<\/span><\/i><\/p>\n<p><b>Answer:<\/b><span style=\"font-weight: 400;\"> Yes, the teacher simply needs to select the previous semester in the Semester drop-down box<\/span><\/p>\n<p style=\"padding-left: 30px;\"><img decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/pp-trpjKaxj797n6V-c_BxvPD80Aw1X_KJLvWrLTFmhY9HlhuHSVdfS_vpQROz8SCiYNt9KjAUhO821NoAkCKaSVzZunZtRIfRBA0CLPQib6yTUz-NSU5QgphW5VnTbiefaZRRaK\" \/><\/p>\n<p>5.\u00a0<i>Teachers are still entering comments in the Report Cards, can I go ahead and activate the next term?<\/i><\/p>\n<p><b>Answer:<\/b><span style=\"font-weight: 400;\"> Yes, you can migrate to the next term even if the teachers are still working on the current term\u2019s report cards. Report Cards remain unlocked and editable until you lock\/publish them. For more info in publishing report cards, click <\/span><a href=\"https:\/\/support.quickschools.com\/hc\/en-us\/articles\/208245053-Locking-Publishing-Report-Cards\"><span style=\"font-weight: 400;\">here<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p>6.\u00a0<i>What data gets copied into the new term?<\/i><\/p>\n<p><b>Answer:<\/b><span style=\"font-weight: 400;\"> When activating a new term, you\u2019ll have the option to copy data from the currently active term:<\/span><\/p>\n<p><img decoding=\"async\" src=\"https:\/\/lh5.googleusercontent.com\/0nD1sBCPFGoJKW5cyBTzkUurcKjCOGbKnP-K6Hr11YCYqftlUyJNYe0R0vDRZvokhnk6vm9srx6tzbSjG5bUs587-0YVejbLdO9Q9DKFk2iQlAG91PGj43HAZ60gE1Gr_INseqaL\" \/><\/p>\n<p><span style=\"font-weight: 400;\">The system copies all data, but some modules are reset so you\u2019ll have a fresh semester to accommodate new data. Modules like Gradebook, Homework, Class Discussions, Scheduling, etc. are blank when you start a new term.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you activate an empty semester though, you\u2019ll get a new semester with blank subjects, grade levels, and homerooms.
